Chapter 12: Guest Saves and Shared-With-Me
The counterpart to Chapter 11. When someone shares a recording with you, you can save it into your own library so you don't have to keep the link forever.
The "Save to my library" flow
You receive a share link. You open it. On the shared-recording page, above the media, there's a Save to my library button.
- Signed in? One click saves the recording. It appears in your library under the Shared with me scope, tagged with who shared it.
- Not signed in? The button prompts you to sign in first, then completes the save automatically. Anonymous saves are not supported — the account is how the recording knows it belongs to you.
A saved copy is a reference, not a duplicate. No extra storage against your quota, no re-upload. If the owner deletes the recording later, your saved copy loses access too (the underlying file is gone).
Provenance — "Saved via link"
The Shared with me scope in your library shows a Shared by column with the sender's name (and email if available). Each row also carries a distinction:
- "Saved via link" — you saved it after opening a public share link.
- "Shared with you directly" — the owner explicitly granted you access (e.g. invited you by email).
This matters for revocation: a directly-shared recording that the owner removes from your specific account disappears from your Shared with me. A saved-via-link recording disappears the moment the owner cuts the link (or removes you specifically) — persistence lasts only as long as the owner's grant does.
What you can do with a shared recording
- Play it — in full if the recording's owner is on Sync Pro; if the owner is free-tier, the 15-minute reveal applies to every viewer, including you (the cap belongs to the recording — see Chapter 11).
- Search across it — it's included in your library search once saved.
- Include it in Meeting Memory — Sync Pro Memory processing treats saved-shared recordings the same as your own, so they contribute to topic pages and appear as citations. (Owner-controlled data is still owner-controlled; you're getting a read-only include.)
That's the list. A saved copy is read-only:
You cannot:
- Re-share it — share settings are owner-only; a recording you don't own doesn't offer Share at all.
- Rename it, or add your own description or tags — the title and details belong to the owner.
- Delete the underlying recording (only the owner can).
- Regenerate the summary or transcript (the owner owns those decisions).
- Add speaker corrections that propagate to the owner's copy — corrections are per-user.
Removing a saved recording from your library
There's currently no remove button: a saved-shared row has no actions, and saved copies stay in Shared with me for as long as the owner's grant stands. If you lose interest, just ignore the row — if the owner revokes the share, the row disappears on its own.
Team library vs Shared with me
Two different mechanisms:
- Shared with me — recordings someone (anyone) shared to you individually via a link or invitation.
- Team library — recordings your team members added to the team pool that every seat can see.
The Team library is a shared workspace; Shared with me is a personal inbox for shared-with-you recordings. See Chapter 13.
Sharing and the referral program
Sharing — whether by link or by email invitation — does not tie the recipient to your account for the referral program. Share URLs and invitation emails carry only a generic "came from a share" marker, never your personal referral code. To earn referral credit for bringing someone in, send them your own referral link from Account → Refer a friend.
Common problems
"I saved a recording but it's not in my library." Check the Shared with me scope (top of library) — not My library. Saved-shared recordings never appear in My.
"The owner revoked the share and my saved copy vanished." Expected. A revoked share pulls all downstream saves. Ask the owner to re-share.
"I can play the recording on the share page but it says 'archived' when I open from my library." Free-tier archiving applied to your view. Upgrade Sync Pro to unarchive.
"I saved it while anonymous and lost it." Anonymous saves aren't supported. Sign in when prompted and try again — the recording is only saved after the sign-in completes.
