SeaMeet Privacy Policy

SeaMeet ("SeaMeet", "we", "our", "us") is a product of Seasalt AI, Inc. This Privacy Policy explains how we collect, use, and protect information when you use:
- The SeaMeet Desktop App for Windows and macOS
- The SeaMeet Cloud Service (including Sync Pro)
- The BYOK Pro ("Bring Your Own Key") plan
- The SeaMeet.ai website and the web library at app.seameet.ai
We are committed to transparency and to giving users full control over their data.
1. SeaMeet Desktop App (Windows/macOS)
SeaMeet Desktop is designed to run locally on your device. When you record audio, video, or your screen using the desktop app:
We do NOT collect or receive:
- Audio recordings
- Video recordings
- Screen content
- Meeting metadata
- Personal files
- Contacts or identities
All recordings remain on your device only, unless you explicitly choose to use SeaMeet Cloud features (live transcription, cloud sync, AI summaries) — see Section 2.
We do NOT transmit usage data by default.
Optional: Anonymous User Experience Improvement Program
You may voluntarily opt in to share anonymous technical diagnostics to help improve SeaMeet. If you opt in, we may collect:
- App version
- OS version
- Device type
- Performance metrics (CPU spikes, dropped frames, encoder stalls)
- Feature usage counts
- Crash logs and error reports
We NEVER collect through this program:
- Audio or video content
- Screen content
- Meeting content
- Personal files
- User identities
You may opt out at any time in Settings → Privacy & Data.
2. SeaMeet Cloud Service
2.1 Anonymous accounts (created by default)
When you first open SeaMeet, an anonymous account is created on your device so you can use the free tier without signing up. This account has:
- A random user id (UUID) — no email, no name, no other personal identifier.
- A free-tier counter row that tracks how much of the 6-hour free transcription pool and the 20-image free OCR pool you have used.
If you sign in with Google, GitHub, or Microsoft, the same user id is linked to that identity (email and name from the provider). Linking does not create a new account; it adds an identity to your existing anonymous one.
If you never link the account and it remains empty (no recordings, no transcripts) and inactive for 90 days, it may be removed automatically.
2.2 What we collect when you use cloud features
SeaMeet Cloud features include live transcription, cross-device sync of recordings/transcripts, AI summaries, and the web library. These features are gated by your subscription tier:
- Free tier: live transcription is metered (the transcript text is processed by an STT provider in real time — see Section 8 — and is not stored on our servers; only a usage counter is incremented). Cloud sync, AI summaries, and the web library are not available on the free tier — your recordings and transcripts stay on your device only.
- Sync Pro: recordings, transcripts, notes, wiki, and screenshots that you create with SeaMeet are uploaded to our cloud storage so you can access them across devices. AI summaries are generated server-side.
When you use these features, we may collect:
A. Meeting Content (Sync Pro only, or live STT counters)
- Audio recordings (Sync Pro: stored in encrypted cloud storage)
- Transcripts (Sync Pro: stored alongside recordings)
- Meeting titles, timestamps, and metadata
- Free tier: only the duration used against your 6-hour pool is stored on our servers; the transcript text itself is rendered in the app and stored locally on your device.
B. Account Information
- Random user id (created at install time)
- Email address (only if you sign in with an identity provider)
- Display name (only if you sign in)
- Locale and language preference (used for the day-23 expiry email)
- Authentication credentials are never stored by us — sign-in is delegated to your identity provider via OAuth (see Section 8.2)
C. Subscription and Billing Information
- Subscription plan (free, Sync Pro monthly, Sync Pro annual)
- Subscription status, period start/end, and any pending cadence change
- Storage add-on quantity and next charge date
- Self-service refund history (one refund per account; we store the timestamp to enforce the one-time limit)
- Payment card details are never stored or seen by us. All payments are processed by Stripe (see Section 8.3).
D. Usage Information
- Live transcription seconds and metered import seconds (per period)
- Screenshot-OCR run count (by provenance: import vs manual capture)
- Cloud storage bytes used
- A list of the devices signed in to your account (for the per-account device cap and audit)
- Device/browser type and IP address (for security and abuse prevention)
E. Third-Party Integrations (optional)
If you connect SeaMeet Cloud to services such as Google Drive or calendar systems, we may process:
- File export data
- Calendar event metadata
- OAuth tokens (securely stored and revocable at any time)
We adhere to all applicable platform policies, including Google API Services User Data Policy.
3. How We Use the Information
We use collected data to:
- Provide and maintain SeaMeet Cloud services
- Generate transcripts, summaries, and meeting insights (subject to your consent — see Section 8.1)
- Enforce free-tier and per-plan usage limits, and surface accurate "X minutes left" / "X GB left" indicators in the app
- Process subscription billing, storage add-ons, and refunds via Stripe
- Send transactional notifications — including the day-23 free-storage expiry reminder ("these recordings delete in 7 days")
- Improve product performance and reliability
- Respond to support requests
- Secure our systems and prevent abuse
We do not sell personal data.
4. How We Protect Your Information
We use industry-standard security measures including:
- Encrypted transmission (HTTPS/TLS)
- Encrypted storage for cloud recordings (Cloudflare R2 server-side encryption)
- Access controls and audit logs
- Limited employee access on a need-to-know basis
Recordings stored in SeaMeet Cloud are encrypted at rest.
5. Data Retention & Deletion
5.1 Desktop recordings
Recordings on your device remain there until you delete them, regardless of subscription tier. We have no way to reach them.
5.2 Cloud recordings — Sync Pro subscribers
Recordings, transcripts, notes, and wiki are retained while your Sync Pro subscription is active and for at least the duration of the paid period.
5.3 Cloud recordings — free tier
Any cloud copies of free-tier content (where applicable) expire automatically 30 days after creation. You will receive a reminder email approximately 7 days before deletion. Your local file on your device is unaffected.
5.4 Downgrade from Sync Pro to free
If you cancel Sync Pro or your subscription lapses, your account reverts to the free tier and cloud copies of your content become subject to the 30-day expiry described in Section 5.3. You will receive a reminder email approximately 7 days before any deletion. Local files on your device remain.
5.5 Account deletion
You may request deletion of all cloud data and your account by emailing info@seameet.ai. We process valid deletion requests within a reasonable timeframe. Anonymous accounts that have never recorded any content and have been inactive for 90 days may also be removed automatically.
5.6 Billing records
Stripe payment records and our internal subscription/usage records may be retained beyond account deletion where required by tax, accounting, or fraud-prevention obligations, in summary form only.
6. Cookies & Website Analytics
SeaMeet.ai and app.seameet.ai may use cookies for basic site functionality and aggregated analytics. You may disable cookies in your browser settings.
7. Children's Privacy
SeaMeet is not intended for children under 13, and we do not knowingly collect data from them.
8. Third-Party Service Providers (Sync Pro only)
Scope notice. The provider relationships described in this section apply only to users on the paid Sync Pro plan who have enabled cloud-assisted transcription, summaries, and OCR. Free-tier users have a much more limited data flow (see Section 2.2 — only metered counters are sent to our servers, and the live STT provider sees the audio stream during the call but transcript text is not stored on our servers). BYOK Pro users have no third-party data flow that we mediate — your data goes directly between your device and providers you authenticate against with your own keys, and we see none of it (see Section 9).
SeaMeet Cloud uses a set of third-party service providers acting as data processors on our behalf. Each receives only the data needed to perform its function, and none use your data to train their own AI models.
8.1 AI-Powered Features (transcription, summaries, OCR)
To provide live and file-based meeting transcription, summarization, action-item extraction, OCR on screenshots, and translation, SeaMeet sends data to the following AI providers:
- Live and file-based speech-to-text: Soniox, Inc.; Deepgram Inc.; and Google LLC (Gemini). We send the audio stream or audio file; we do not send account credentials or other personally identifiable information.
- Summaries, action items, chapter detection, and translation: Google LLC (Gemini), OpenAI, L.L.C., Anthropic, PBC (Claude), and DeepSeek (Hangzhou DeepSeek AI Co., Ltd.). We send meeting transcript text only; we do not send audio or account credentials.
- Screenshot OCR: Google LLC (Gemini Vision). We send the screenshot image only.
These providers act as data processors on our behalf and do not use your data to train their AI models.
Before your transcripts are processed, you will be asked for explicit consent in the app. You may withdraw consent or disable AI features anytime in Settings → AI Features; core recording functionality remains available regardless.

8.2 Identity providers (sign-in)
When you choose to link your anonymous account, you sign in through one of:
- Google LLC
- GitHub, Inc. (a Microsoft company)
- Microsoft Corporation (Azure / Entra ID)
We use Supabase Auth (Supabase Inc.) to broker these OAuth flows. We never see or store your password. Your identity provider returns to us your email address and a display name; you can revoke access from your identity provider's account settings at any time.
8.3 Payment processing
All Sync Pro subscriptions, storage add-on purchases, and refunds are processed by Stripe, Inc. Stripe receives the payment details (card number, billing address) directly from you; we never see or store them. We receive only a Stripe customer id and subscription metadata. Stripe processing is governed by Stripe's Privacy Policy.
8.4 Cloud storage and infrastructure
- Cloudflare, Inc. provides our object storage (R2), our edge worker network (for low-latency live STT relay), and our web hosting for app.seameet.ai. Recordings and transcripts are stored encrypted at rest in R2.
- Supabase Inc. provides our database (Postgres), our authentication backend, and our serverless function runtime.
These providers do not have access to the content of your recordings for any purpose other than storing and serving them at our direction.
9. BYOK Pro — Your Data Stays With You
The BYOK Pro ("Bring Your Own Key") plan is designed for users who want the maximum privacy posture: you bring your own AI provider API keys, and SeaMeet acts only as a desktop client. We do not see, store, transmit, or proxy your recordings, transcripts, or AI-generated content under this plan.
9.1 What we do NOT collect on BYOK Pro
- Audio recordings — they remain on your device.
- Video recordings — they remain on your device.
- Transcripts — generated on-device using your API keys, calling AI providers directly from your machine.
- AI summaries, action items, or any AI-generated output — same as above; the call goes from your device to the provider you chose, with the key you supplied, and we are not in the data path.
- Cloud storage of recordings — there is no SeaMeet-hosted cloud storage on BYOK Pro. If you choose to back up your content, you point SeaMeet at your own GitHub repository or your own Google Drive; we never see those bytes.
- The API keys themselves — your keys are stored locally on your device, encrypted by your operating system's keychain (Windows Credential Manager / macOS Keychain). They are never transmitted to our servers.
9.2 What we DO collect on BYOK Pro
The only data we collect from BYOK Pro users is what's strictly necessary to run the subscription:
- Account identifier (random UUID + the email and display name from your identity provider).
- Subscription status from Stripe (active / canceled / past due) — needed so the app can verify you have a paid plan.
- Aggregate, anonymous usage diagnostics, only if you opt in (same as Section 1).
We never receive or process the substance of your meetings. The AI providers you use (and any cloud storage you point SeaMeet at) are governed by their own privacy policies and the terms of your own account with them — not by ours. If you have concerns about how Google, OpenAI, Anthropic, or another provider handles your data, those concerns are addressed in the agreement between you and that provider directly.
9.3 Recommended setup
To maximize privacy on BYOK Pro, we recommend:
- Using a paid (not free-tier) AI provider key, since free-tier provider keys often carry broader data-use rights for the provider.
- Reviewing the AI provider's data-retention settings; e.g., Google AI Studio offers a "no training" mode for paid Gemini keys, and OpenAI offers zero-retention on enterprise accounts.
- Using a dedicated cloud account (GitHub, Google Drive) for SeaMeet backups, scoped to only the SeaMeet folder, so revoking access is one click.
10. Your Rights
Depending on where you live, you may have rights to access, correct, delete, or port your personal data, or to restrict or object to its processing. To exercise these rights, email info@seameet.ai. We will respond within a reasonable timeframe.
For users in the European Economic Area or the United Kingdom, our legal bases for processing are contract performance (providing the service you signed up for), legitimate interests (security, fraud prevention, product improvement on aggregated data), and consent (AI features — see Section 8.1).
11. Changes to This Policy
We may update this Privacy Policy periodically. Updates will be posted on SeaMeet.ai with a revised "Last Updated" date. Material changes that expand the categories of data we collect or the third-party processors we share with will be notified by email or in-app notice before they take effect on your account.
